Overview:

​As a Bidding Specialist I, you will be responsible for supporting the bidding process by preparing, coordinating, and managing bids and proposals in response to requests from clients or customers. This role involves conducting research, gathering necessary documentation, and ensuring compliance with bid requirements. You will work closely with the Bidding Manager and other team members to submit competitive and compelling bids that meet the organization's objectives.


Duties and Responsibilities:


1. Bid Preparation: Assist in preparing bids and proposals in accordance with client requirements, specifications, and deadlines.


2. Document Collection: Gather and organize all relevant documents, including technical specifications, sealing of documents, and pricing information (ABC), to support the bidding process discussed during pre bid conference.


3. Coordination: Coordinate with internal departments, including sales, engineering, finance, and regulatory, to obtain necessary inputs and approvals for bid submission.


4. Bid Compliance: Ensure that all bid documents and submissions comply with client requirements, procurement regulations, and internal policies and procedures.


5. Proposal Writing: Assist in drafting proposal content, including executive summaries, technical responses, and pricing schedules, ensuring accuracy and alignment with client expectations.


6. Bid Submission: Coordinate the timely submission of bids, either electronically or in hard copy, and track the status of submissions to ensure completion.


7. Bid Tracking: Maintain a database or tracking system to monitor bid opportunities, submissions, and outcomes, providing regular updates to the Bidding Manager and relevant stakeholders.


8. Relationship Management: Build and maintain relationships with clients, subcontractors, suppliers, and other stakeholders to support bid development and enhance business opportunities.


9. Continuous Improvement: Identify opportunities for process improvements in the bidding process, documentation templates, and tools to streamline workflows and enhance efficiency.

Duties and Responsibilities

  1. Prepare reports, memoranda, correspondence and other related documents according to branding policy.
  2. Properly receive, mind out and distribute all mails, documents (facsimile and other forms), subscription, SMS and other deliveries and parcels to its recipients.
  3. Ensures proper documentation for all supplies, consumable items and other resources available, in quality form and number are updated appropriately upon purchase, inventory, storage and utilization.
  4. Exercise effective filing management and organization for all the resources govern to keep the accuracy of the Company’s records.
  5. Provide administrative support to the Management, Professional Sales Executives (PSE) and other staff members.
  6. Coordinate the periodic maintenance of office equipment and ensure its functionality and longevity.
  7. Reports through proper encoding of petty cash flow in compliance with the Company’s policy.
  8. Timely receiving and documenting of Company product inventory records from delivery.
  9. Prepares the requirements of financial documents and parcels to clients thru representatives according or ahead of the agreed service level agreement.
  10. Assist accounting Head and investigate all issues for account receivables and payables concerning the operations and delivery.
  11. Reviews all the expenses of the Operations.
  12. Manage cash and check deposits for banks on an everyday basis.
  13. Assist various departments and processing all closing of accounts.
  14. Manage all data, administer appropriate coding and update information on processing system.
  15. Using MS Excel or its counterpart to create spreadsheets and reports.
  16. Drafting summary reports concerning key issues for officers’ review.
  17. Verifying that all accounting activities of other departments follow company protocol.
  18. Presenting accounting issues and results to executive committees and upper management.
  19. Developing suggestions for consumer requirements as innovative solutions profitable to the Company.
  20. Verifies all requests for liquidation and reimbursements and execute process accordingly.
  21. Custodian of all documentation and reports relative to financial concerns submitted by all employees across all departments.
  22. Performs other related jobs assigned by the management and reporting manager.
